RESOLUTION 050219- A <br />A RESOLUTION OF THE <br />BOARD OF DIRECTORS OF THE <br />CONEJO RECREATION AND PARK DISTRICT <br />AUTHORIZING <br />RETENTION AND DESTRUCTION OF RECORDS <br />IN ACCORDANCE WITH PROTOCOL HEREIN <br />WHEREAS the Board of Directors adopted a Records Retention Schedule on April 10, 2003; <br />and <br />WHEREAS the Records Retention Schedule classifies the District's records by category and <br />establishes a records retention/destruction period for each of the categories; and <br />WHEREAS Government Code section 60200 et seq. provides for the destruction of records of <br />special districts in accordance with a standard protocol; and <br />WHEREAS a records retention system is vital for organizing and managing the information and <br />records in possession of the District. Effective records management ensures that records are <br />kept only as long as they have some administrative, fiscal, or legal value. <br />NOW THEREFORE, the Board of Directors of the Conejo Recreation and Park District hereby <br />establishes the following protocol for destruction of records: <br />1. The Executive Assistant/Clerk of the Board shall periodically identify records in the <br />possession of the District which have aged beyond their retention period according to the <br />approved Records Retention Schedule. <br />2. The Executive Assistant/Clerk of the Board shall periodically compile a list, by category <br />(also known as Record Series), of those records which are suitable for destruction or <br />disposition. <br />3. The Executive Assistant/Clerk of the Board, the Administrator as primary custodian of <br />such records, and the General Manager shall each provide written authorization prior to <br />destruction or disposition of the categories of records identified on the list. <br />PASSED AND ADOPTED May 2, 2019. <br />Chuck Huffer, Chair <br />ATTEST: <br />Aline Reynders, Executive Assistant <br />
