A significant effort will be involved should the District choose to keep Logos in-house, as the SQL server
hardware and software will need to be replaced in the near future, and data will need to be converted to
the new database version, tested and verified. Additional modules Tyler Identity (required by Tyler),
eSuite and eEmloyee (district additions) will need to be installed on additional servers in-house and the
four existing application servers will need to be upgraded with enhanced SSL security.
As part of this process, staff also took the opportunity to review current usage and future requirements of
the Logos system and we are removing some modules that are no longer needed and replacing them
with eSuite and eEmployee which will provide employees a self-service portal to view pay stubs,
accruals, and employee benefits.
The District currently has a budget that is setup to maintain the software and replace hardware on regular
schedule. Projected in-house budget expenses for the next three years are detailed in the chart below
along with the proposed hosted expenses. The proposed hosting option is slightly cheaper. The proposed
agreement is for three years at a total projected cost of $207,307 including one-time fees of $8,000 for two
VPN appliances and $2,500 for Project Planning Services.
Year 2
Maintenance (2019-2020) $35,219 included
Disaster Recovery $14,380 included
Upgrades $2,600 included
SQL Replacement (4yr life) $10,000 na
App server Replacements (4 yr life) $6,000 na
Total: $68,199 $65,642
Year 3
Maintenance (2020-2021) $36,979 included
Disaster Recovery $14,380 included
Upgrades $2,600 included
SQL Replacement (4yr life) $10,000 na
App server Replacements (4 yr life) $6,000 na
Total: $69,959 $65,602
June
Logos cost comparison
2018
In -House
Cost
Hosted cost
Year 1
Maintenance (2018-2019)
$34,427
included
Disaster Recovery
$14,380
included
Upgrades
$2,600
included
SQL Replacement (4yr life)
$10,000
na
App server Replacements (4 yr life)
$6,000
na
Total:
$67,407
$65,602
Year 2
Maintenance (2019-2020) $35,219 included
Disaster Recovery $14,380 included
Upgrades $2,600 included
SQL Replacement (4yr life) $10,000 na
App server Replacements (4 yr life) $6,000 na
Total: $68,199 $65,642
Year 3
Maintenance (2020-2021) $36,979 included
Disaster Recovery $14,380 included
Upgrades $2,600 included
SQL Replacement (4yr life) $10,000 na
App server Replacements (4 yr life) $6,000 na
Total: $69,959 $65,602
