Lange, Director <br />Ed Jones, Director <br />Chuck Huffer, Director <br />GENERAL MANAGER EMERITUS <br />Tex Ward <br />TO: Board of Directors <br />FROM: Jim Friedl, General Mana <br />SUBJECT: Convert New World Systems Logos Financial/HR System from In-house IT <br />Supported Hardware and Software Programs to Cloud Hosting with Tyler <br />Technologies. <br />RECOMMENDATION <br />Authorize the General Manager to execute the documents related to Tyler Technologies New World <br />Systems Logos cloud hosting for a three-year cost of $207,307, off -set by savings from "in-house" <br />Information Technology Unit supported hardware and software programs. <br />DISCUSSION <br />Conejo Recreation and Park District has maintained a business relationship with Tyler Technologies <br />(formerly New World Systems) since 1989 to provide Logos financial and human resources software. The <br />District is currently entering the final year of its most recent five-year maintenance agreement (July 11t, <br />2014 — June 301, 2019). During this recent contract period New World Systems was acquired by Tyler <br />Technologies which has significantly expanded its product offerings including cloud hosting services. <br />The District currently maintains the Logos financial and human resources software and data in-house. <br />Moving this software and data to the cloud "hosting" offers many advantages over the current in-house <br />arrangement. <br />Disaster recovery. Tyler Technologies hosted solution is fully redundant. Over the years the District <br />has implemented various disaster recovery solutions and the FY 18-19 budget includes funds for <br />additional disaster recovery solutions. Tyler Technologies hosts their clients in two geographically <br />separated data centers with fully replicated data, hardware, power and connectivity. <br />Maintenance. Tyler Technologies provides and installs all of the updates and patches for the Logos <br />software as well as the Windows Server and SQL software. This ensures that the correct, properly <br />tested updates and patches are effectively applied to our environment. <br />Performance and Support. The Tyler Technologies hosting team becomes an extension of CRPD's <br />own IT department to troubleshoot performance issues with the software. Tyler maintains <br />specialized technical staff in database management, server infrastructure, and application <br />software.
