Tom Hare Jan. 20, 2017
Administrator, Parks and Planning
Conejo Recreation & Park District
403 W. Hilicrest Drive, Thousand Oaks CA 91360
RE: Aditya Festival Production
Date of Event 6/10/2017
Tom,
Thank you for arranging to have the staff of Aditya Festival Production attend our region board
meeting on 1/9. After the group departed, the board members in attendance discussed the
presentation and incentives offered to AYSO. A vote was taken and all the board members were
unanimously opposed to the event.
AYSO provides an opportunity for the youth of our community, ages 4 -18, to participate in our
soccer program. Our enrollment has ranged from 1,850 to 2,100 over the last several years. In
order to properly prepare the youth enrolled in our program and the volunteers who make the
program successful, we rely on the having access to fields for soccer camps, coach/ref training
and practices well in advance of our opening day in Sept.
The MOU between CRPD and AYSO outlines AYSO as the first priority user 8/1 through 3/31.
Outside of that time frame, CRPD agreed to collaborate and coordinate other events with the
intent of accommodating AYSO throughout the year.
Since the Oak Heart Music Festival began, AYSO has not had access to the fields on 8/1. Last
year we gained access to the fields on 8/6, which was the closest to the MOU since the Oak
Heart group has been granted permits. If a permit is granted to the Aditya group, AYSO was
advised this would delay the refurbishment process by 6 —10 days. This potentially pushes
access to the fields to 8/16, which is well into the 3r' week of August. This would have a
significantly negative impact to AYSO ability to prepare for our fall season.
Currently there are two non AYSO tournaments that are scheduled in August. AYSO has worked
closely with CRPD and those user groups to have a successful tournament. While AYSO has
been happy to accommodate, we have had to search for other fields during those tournament
