Halt, Vice Chair <br />Joe Gibson, Director <br />Ed Jones, Director <br />Chuck Huffer, Director <br />GENERAL MANAGER EMERITUS <br />Tex Ward <br />Subject: Contract for Custodial Services at Various Park Facilities <br />RECOMMENDATION <br />Authorize General Manager to execute a contract with Excellent Building Maintenance (EBM) in <br />the amount of $155,435.52 annually ($12,952.96 per month) for services to seven parks <br />throughout the District. <br />DISCUSSION <br />In May 2016, as a result of a Request for Proposal process, the Board authorized the General <br />Manager to execute a contract for custodial services to Xanadu Service System, Inc, (Xanadu) in <br />the amount of $123,720 annually ($10,310 per month). Xanadu's contract was for a five-year <br />period with two optional one-year extensions. <br />Due to issues regarding Xanadu's inability to fulfill the services specified in the contract, on <br />November 15, 2016, the District terminated for cause Xanadu's contract effective November 16, <br />2016. <br />In order to provide services to the District without interruption, and as EBM was the second top <br />proposer from the Request for Proposal process and had provided more than satisfactory prior <br />services to the District, staff entered into a contract with EBM for services from November 15, <br />2016 until January 20, 2017. <br />EBM has provided more than satisfactory service during the past two plus months. Thus, staff <br />recommends entering into a contract with EBM for the balance of time (and same terms and <br />conditions) of the original contract with Xanadu (approximately 4.5 years and two optional one- <br />year extensions).
