Conejo Re0% ... ion
District
GENERAL MANAGER BOARD OF DIRECTORS
Jim Friedl Chuck Huffer, Chair
George M. Lange, Vice Chair
Susan L. Holt, Director
Nellie Cusworth, Director
DATE: April 4, 2019 Doug Nickles, Director
TO: Board of Directors
FROM: Jim Friedl, General Manag
SUBJECT: Video Recording of Boa eetings
DISCUSSION ITEM
GENERAL MANAGER EMERITUS
Tex Ward
Video recording of Board meetings is a subject that has been suggested by a Board member at various
times over the years. The purpose of this discussion item is to go over some options for video coverage,
review the quality of the coverage of a few agencies and get a sense from the Board of how important is
the quality of the coverage relative to some estimated costs.
To facilitate the discussion, attached hereto is a video recording / web streaming proposal from "Swagit" —
the company currently used by the Conejo Valley Unified School District.
CRPD Board meetings are open to everyone. To see a meeting, someone would need to physically attend
the Board meeting. Currently, audio recordings of meetings are available upon request and minutes are
posted online.
Video recording/web-streaming Board meetings provides a more convenient way for anyone to view CRPD
Board meetings enhancing government transparency. The incremental public benefit of watching a
meeting over listening to an audio recording is an added convenience that comes with an initial up -front
cost and recurring annual costs thereafter.
Staff encourages discussion among Board members regarding the topic and would look to the Board to
provide some general direction to staff about whether to pursue a video-recording/web-casting option; and
if so, what level of production quality should be pursued?
Strategic Plan Elements:
7.1 Recognize importance of — and utilize — social media and local media (including TOTV) to communicate
with District patrons. Provide timely information via social media and local media to publicize District
programs, events and facilities.
7.2 Periodically refresh look and functionality of District's online presence via website, tablet, smart phone
and social media.
7.3 Engage the community and consider the way people receive information (personal contact, radio, print,
computer, tablet, smartphone) to allow more effective interaction with internal and external customers,
improve service levels, increase awareness and appreciation of the District, and enhance overall public
engagement with the District & social connectivity among everyone in the community.
ADMINISTRATIVE OFFICES
403 West Hillcrest Drive • Thousand Oaks, CA 91360-4223
(805) 495-6471 • FAX: (805) 497-3199 • Email: parks@crpd.org • Website: www.crpd.org
